Cancellation Policy Frequently Asked Questions

  • As a mobile veterinary practice, each appointment reserves a dedicated block of time that includes travel, treatment, and medical documentation. With a growing waitlist, last-minute cancellations make it difficult to offer timely care to pets who are waiting. The updated policy helps us reduce unused appointment slots and better serve all patients.

  • Due to the nature of our scheduling and travel logistics, appointments canceled within 24 hours are rarely able to be filled. A 48-hour notice gives us the best chance to offer the time to another patient and maintain continuity of care.

  • The fee helps offset unrecoverable appointment time, travel planning, and staff coordination. It is not a penalty and does not reflect the full cost of the appointment — it simply helps cover time that cannot be rebooked.

  • Yes. Appointments rescheduled within 48 hours of the scheduled time are treated the same as cancellations, as the reserved time cannot typically be filled.

  • We understand that emergencies and unexpected situations can arise. Fees may be waived at the discretion of Holiystic Vet in the case of true emergencies. All other circumstances will follow the policy as written.

  • No. The updated policy applies only to appointments scheduled after the acknowledgment form is signed.

  • Repeated last-minute cancellations may require prepayment to reserve future appointments or may affect waitlist priority.

  • Please notify us of any cancellations or rescheduling requests more than 48 hours in advance of your scheduled appointment time.

  • Many patients wait weeks to months for an appointment. Last-minute cancellations prevent those pets from receiving care and result in unused appointment time that cannot be reassigned.

  • If you have questions about the policy, please reach out to our team prior to scheduling. We’re always happy to clarify and appreciate your understanding.
